The Muskego Public Library Board of Trustees discussed a draft indemnification and insurance provisions form intended for users of the library’s meeting rooms but voted not to adopt a separate, stand‑alone form at the Oct. 21 meeting.

Staff explained the draft was requested at an earlier meeting and that the city’s meeting‑room policy already includes similar verbiage covering indemnification and insurance for some uses. Trustees were told the standalone draft would mainly apply to certain performers or organizations (for example, animal programs or performers who might need to show proof of insurance). After discussion trustees expressed a preference to avoid redundant paperwork and to verify current city practice for performers’ insurance before adding an additional form.

Trustees asked staff to confirm whether the library currently requires written proof of insurance from outside performers and groups that bring animals or potentially higher‑risk activities. Staff said the city IT and the city attorney had been consulted earlier on related topics; staff will follow up with specifics on current practice and provide that information at a future meeting. A motion to approve the indemnification and insurance provisions form was made and seconded but did not pass.

The board’s stated concern was twofold: first, that duplicate forms could discourage room rental and community use; and second, that event organizers often already provide insurance documentation when required. Staff agreed to check existing meeting‑room procedures and report back.

No new indemnification or insurance requirement was adopted at the meeting.
