Staff member Diane explained the city's minutes practice and state requirements, saying minutes should provide a brief overview of attendance, actions taken and summaries of discussion rather than verbatim transcripts. "This sheet explains exactly what is required for meeting minutes, from the ORS — Oregon Revised Statutes," Diane said during the meeting. She told the committee minutes and recordings are posted to the city website and to the city’s YouTube channel "usually within a day or two," and that staff believes recordings remain available for at least five years but that an internal archival system would require additional budget and council direction.
On procedure: A committee member moved to accept the May 7 minutes with amendments and another committee member seconded the motion during the meeting; the motion was made and seconded on the record and the committee proceeded. The transcript does not record a roll-call vote or a formal tally.
TCAB nomination: Several members spoke in support of continuity in the Town Center Advisory Board appointment. One committee member nominated Victoria as the CAC appointee to TCAB and another member seconded the nomination.
