During a recent government meeting, officials discussed significant upgrades to the city's financial management system and the transition to a new phone system.
The city is currently in the process of drafting a Request for Proposal (RFP) for a financial system upgrade, as the existing accounting software, Springbrook, is outdated and lacks necessary capabilities. The city aims to enhance efficiencies in accounting, financial management, and budgeting processes. Officials indicated that they are considering two options: either building out the existing Springbrook system or implementing a new Enterprise Resource Planning (ERP) system. The RFP will allow the city to compare responses from Springbrook and other vendors to determine the best path forward.
The process is expected to be thorough and time-consuming, with a focus on ensuring that the selected system meets both current and future needs. Officials emphasized the importance of scripted demonstrations from vendors to ensure that the solutions presented align with the city's requirements.
In addition to the financial system upgrade, the council addressed the planned replacement of the city’s phone system, which is projected to take five years and cost $145,000. The transition will involve moving all staff to Microsoft Teams for phone services, phasing out traditional desk phones. Officials acknowledged that while many staff members already use Teams, the implementation process will require careful planning and time to ensure a smooth transition.
